VisaReady Terms of Service Agreement

The below Terms of Service (“Terms”) are not binding until the Client has agreed to them (usually via VisaReady's website).

From the time of the Client’s consent, the Terms constitute a legal agreement between VisaReady and the Client. Nothing in these Terms is intended to contradict the Client’s legal rights as a consumer.

Acceptance of Terms
By accepting these Terms, the Client hereby agrees​

  • That the Client has read and understands the Terms;

  • That the Terms are legally binding with respect to all communications and interactions between VisaReady and the Client before, during, and after the rendering of services, unless superseded by an updated agreement; and

  • To abide by and be bound by these Terms in connection with the use of VisaReady’s consultancy services.

Access to Services
The Client understands that​

  • VisaReady’s video chat consultations are normally conducted via Microsoft Teams, which

    • Is compatible with most modern devices and browsers;

    • Does not require any other software to be installed (i.e. the Client can join from a web browser); and

    • Does not require a Microsoft (or any other) account.

  • For the best experience, the Client will need a stable internet connection and audio and video input and output hardware.

  • The Client should email their VisaReady coach immediately if technical issues prevent joining or participating effectively in the meeting.

Service-Specific Provisions, Refunds, Cancellation, and Rescheduling
The Client understands that for all services​

  • With the exceptions below, fees are non-refundable;

  • While all provisions in these Terms apply, the additional terms stipulated in this section also apply to the VisaReady services under which they are specified; and

  • “Cancellation” refers to intentional withdrawal from this contract.

The Client agrees to the following additional service-specific terms:

  • Refusal Risk Analysis​​

    • No additional terms. The Client should note that although this service is free, the Confidentiality Agreement still applies.

  • Written Case Analysis​

    • VisaReady may begin work from the moment of the conclusion of this contract, obliging the Client to pay for whatever portion of the service is completed even in the event of cancellation;

    • Cancellation is permitted up to 14 days from the purchase date. However, as noted above, refunds issued upon cancellation will be in proportion to the amount of work not yet completed by VisaReady; and

    • Since Written Case Analysis is typically completed in less than a day, it is unlikely there will be a meaningful opportunity to reconsider after purchase.

  • Interview Coaching​

    • VisaReady may begin work from the moment of the conclusion of this contract, obliging the Client to pay for whatever portion of the service is completed even in the event of cancellation;

    • Cancellation is permitted up to 14 days from the purchase date. However, as noted above, refunds issued upon cancellation will be in proportion to the amount of work not yet completed by VisaReady; and

    • In the event of cancellation by the Client, the pre-interview analysis performed by the VisaReady consultant may have already been completed. The value of the pre-interview analysis shall constitute 60% of the price of a 30-minute coaching session and shall be nonrefundable if completed prior to the Client’s cancellation.

Follow-up Consultation​

  • Unless the service has already been performed, the Client is entitled to cancel the service within 14 days of conclusion of this contract for a full refund.

The Client understands that for all services​

  • Where permitted (see above), cancellation may be performed most easily via the withdrawal form at the URL sent to the client after payment is made, currently https://www.visaready.us/cancellation-form-4444. Alternatively, the Client may write to info@visaready.us or their VisaReady coach specifying the service to be cancelled, the date it is scheduled for (if applicable), and the date it was booked;

  • Any complaints may be submitted to info@visaready.us, to the Client’s VisaReady coach, or through the VisaReady website Contact page. VisaReady strives to respond to complaints as swiftly as possible;

  • VisaReady may cancel scheduled services at its sole discretion where it deems reasonable (especially in cases of abusive, threatening, or otherwise unprofessional or discourteous communications from clients), in which case it will issue a full refund;

  • In extremely rare cases, VisaReady may need to postpone or reschedule appointments. In such cases, if rescheduling is impossible due to the visa interview occurring in the next seven days, VisaReady will issue a full refund;

  • While VisaReady makes every effort to accommodate clients, it may not be able to reschedule an appointment at client request on short notice;

  • If technical issues obstruct the consultation, VisaReady will either coordinate with the Client to reschedule the remainder or issue a partial refund based on the time lost; and

  • VisaReady is never obligated to issue any refund for technical problems arising on the Client’s side, but it will collaborate with the Client to reschedule in such cases.


Code of Conduct
The Client understands that VisaReady’s employee code of conduct comprises the following:​

  • To ensure their safety and privacy, VisaReady does not disclose the identities and personal details of its consultants;

  • Similarly, VisaReady places the highest possible priority on client confidentiality. Under no circumstances will VisaReady disclose client information to any third party, with the sole exception that in the unlikely event it is legally compelled to do so, it will disclose the minimum information necessary to meet its legal obligation; and

  • Under no circumstances do VisaReady consultants abuse the privileges or violate the legal or ethical obligations to which they are sworn as former or off-active-duty U.S. government employees.

Service Limitations
The Client understands that​

  • VisaReady consultants (also called “VisaReady coaches” or “VisaReady officers”) are former or off-active-duty U.S. visa officers;

  • VisaReady provides coaching services intended and designed to help clients prepare for U.S. visa interviews;

  • These services are limited to consultations and personalized guidance by video chat and email;

  • Due to the legal and ethical obligations of the former and off-active-duty U.S. visa officers who perform VisaReady’s consultations, VisaReady does not provide any of the following services:

    • Disclosing privileged or classified U.S. government information or policies;

    • Representing clients to the U.S. government, including (but not limited to)

      • Writing or revising documents to be submitted to the U.S. government and

      • Filling out forms to be submitted to the U.S. government;

    • Attempting by any method to access client information via

      • U.S. government systems or

      • Current or former U.S. government employees;

    • Attempting in any form or by any method to influence U.S. government decisions or U.S. government officials; or

    • Legal advice (i.e., VisaReady consultants focus solely on interview strategy);

  • Under no circumstances do VisaReady consultants ever attempt to use professional connections they have made to assist clients in any way; and

  • VisaReady consultants are not necessarily lawyers or legal experts, that their experience with law and policy is usually limited to their work as visa officers, and that they do not provide legal advice or legal services.


The Client acknowledges that VisaReady consultants’ services are valuable due to their professional expertise as U.S. visa officers, not due to legal backgrounds or qualifications or to professional connections they may have made.


Guarantees
VisaReady is committed to providing services that meet the highest standards of quality and professionalism. All our services are covered by a legal guarantee of conformity, meaning​

  • Our services are guaranteed to conform to the standards and specifications agreed upon. If the service fails to thus conform, the Client has the right to request corrections or improvements at no additional cost, and

  • Should any issues arise with service quality, we are committed to resolving them to uphold your rights as a consumer. If you have any concerns regarding the quality or conformity of the services provided, please contact info@visaready.us or your VisaReady coach. We will do our best to address the issue quickly and efficiently.


The Client understands and accepts that

  • Many and diverse factors affect the outcome of U.S. visa cases, some of which are highly unpredictable. There is therefore no fully reliable method for achieving approval;

  • Final decisions on all visa applications lie solely with U.S. visa officers, who in most cases enjoy extensive sole individual discretion when deciding whether to approve visas;

  • For the above reasons, VisaReady provides no guarantees regarding the style, format, content, or outcome of any visa interview encounter, nor of the Client’s satisfaction with its services;

  • VisaReady makes no guarantees of any kind besides those explicitly stated in these Terms, its correspondence with the Client, or its website;

  • VisaReady consultants advise clients based on their extensive and varied individual professional experiences. While VisaReady’s former visa officers are well-equipped to coach on best practices due to their knowledge of generalities that tend to apply across U.S. consular sections, they have deep personal experience working in few consular sections and are unlikely to possess knowledge of any unique practices of any given U.S. consular section; and

  • VisaReady consultants have no access to information about particulars of the Client’s case beyond what the Client provides.


Payment and Fees
The Client understands that​

  • Service bookings are not considered complete until the Client has explicitly agreed to these Terms and VisaReady has received payment for the service in question;

  • Payment shall be made using the digital invoice VisaReady sends the Client;

  • Payment must be completed in full prior to the commencement of any services; and

  • Booked services may be canceled if payment is not made within 72 hours of booking.

Limitation of Liability
The Client agrees that​

  • Neither VisaReady nor any of its officers, directors, or employees will be held liable for any indirect, incidental, or consequential damages arising from the services provided, and

  • VisaReady’s total liability shall not exceed the amount paid for the services.


Client Responsibilities
The Client acknowledges that​

  • Providing prompt, complete, accurate information to VisaReady in communications and consultation(s) is essential to VisaReady’s capacity to advise prudently and is the Client’s sole responsibility;

  • The Client is not obliged to disclose to VisaReady any information other than that required to conduct business, but withholding information may severely hinder VisaReady’s ability to identify the Client’s best visa interview strategy; and

  • VisaReady is not liable for any issues or delays caused by incorrect or incomplete information the Client provides.


Governing Law and Dispute Resolution
The client agrees that​

  • This agreement will be governed by the laws of Finland, where VisaReady is incorporated;

  • Any disputes arising from this agreement will be resolved in the courts of Finland; and

  • VisaReady is not legally liable for any poor experiences or outcomes arising from its services.

Confidentiality Agreement
The Client agrees not to disclose, for a period of two years following the conclusion of services,​

  • Any written or verbal advice provided by VisaReady relating to visa applications or visa interviews and

  • Any personally identifiable information about VisaReady personnel.

The following exceptions shall apply:​

  • The client may disclose confidential advice to trusted family members or advisors solely for the purpose of receiving personal counsel or assistance. However, the client shall not disclose any confidential information to other potential or actual U.S. visa applicants, including but not limited to colleagues, friends, and fellow students, nor shall the client publish such information online, on social media, or in any other public venue, and

  • The client may make any disclosure required or allowed by the laws governing this contract.

Privacy Policy

The Client understands that

  • VisaReady uses encryption and access controls to protect client data;

  • VisaReady collects and uses client data only for the purposes of fulfilling services contracted by the client;

  • VisaReady’s website makes use of essential cookies for security and maintaining user sessions. All other data collection occurs through the Client explicitly and voluntarily providing the data collected;

  • For free services, VisaReady collects

    • The Client’s email address and

    • All information the Client voluntarily provides (via our website forms, by email, or during a consultation) about the Client’s visa application case (such as prior visa status, travel history, and other background information necessary for our consultancy services);

  • For paid services, VisaReady collects

    • The same information as for free services, and

    • Personal identification information and billing details necessary to conduct business;

  • VisaReady does not share client data with third parties unless legally compelled, but the Client must provide payment data to the payment platform in use to make payment;

  • The Client has rights under the GDPR, including the right to access, rectify, erase, restrict, or object to the processing of the Client’s data. The Client can make such requests in writing to info@visaready.us or the Client’s VisaReady coach.

  • The Client has the right to lodge a complaint with the Office of the Data Protection Ombudsman at tietosuoja.fi.

Changes to These Terms of Service
We may update these Terms. The latest version will always be available on our website.
